Company Lays Groundwork for New Web Initiative

All Medical Mutual insureds recently received letters and literature
outlining a new web-based initiative designed to reduce the
Company’s carbon footprint while providing quicker, easier and
interactive access to Company communications and individual policy
information. The mailer provided both online and reply card
options for each recipient to register his or her email address as a
first step toward taking advantage of the new online portal system.
Initially, the new system will allow insureds the choice of how to
receive company news and announcements — via regular mail and
paper, or electronically via email. For policy administrators, it also
promises future benefits like expedited policy renewals and online
policy management tools. Other policyholder services expected to
become part of the portal include blogs and tools for risk managers
to discuss issues in a private, secure online environment.
Leveraging Technology
John Doyle, VP of Marketing and Corporate Communications,
said the new initiative builds on last year’s introduction of the
Company’s ImageRight system, which files all policy documentation
and policyholder correspondence electronically — even files
initially created on paper — in a central database. "This new system
will eventually tie all these documents and data together,
allowing policyholders to access their critical policy-related information
online. It’ll drastically reduce paper consumption, save
physical file space in practice and institutional offices and make
access to things like forms and loss-run reports a simple, ondemand
task for both our in-house staff and our policyholders
alike. It’s all about leveraging technology for increased efficiency
and enhanced customer service," said Doyle.
The Company is in the midst of installing the hardware and
software system that will drive the enhanced services and tools of
the new online portal. In the meantime, Doyle said Phase 1 of
the initiative is already operational. "We’re ready to
roll with the electronic communications portion of
the system. People have already been registering their
preferences for whether they want to receive correspondence
like alerts and announcements, as well as
our newsletters, via email or the Postal Service. And
we’ll begin that this spring. So I encourage all insureds
and policy administrators to go online or return the
reply cards that came with their mailers to let us know how they
want us to send the various kinds of correspondence," he said.
